Privacy policy

We have two separate privacy policies in use on our site.  For general usage, the standard Network Rail policy applies.  For filming applications and safety briefs which require us to take personal data, the following applies in addition : 

Introduction

This privacy notice relates to the following - i) filming application portal; and ii) filming safety briefs. 

i) Registration is required to make an application to film through the application portal - only applicants (such as location managers and production assistants, etc.) need do this.  We'll need to take some personal information in order to make contact with you.  We will need to share these with our colleagues and selected partners, but all will be done on a a need-to-know basis only. 

ii) Filming safety briefs have to be completed by all crew for most our filming locations.  There are three reasons for why this is necessary :

  • To make you are aware of the safety information relevant to the location you are going to be filming in
  • To remind you of the most common DO’s and DON’Ts when filming with us
  • For us to have a record of everyone who will be working on our property for safety and security reasons.

Completion of the safety brief is a condition of the filming agreement, so you must complete it before you are allowed to work at the station.  If you do not complete it, you will not be allowed to work on the day.

We take your right to privacy seriously and want you to feel comfortable, so this privacy notice explains everything you need to know.

Who is the data controller?

Network Rail Infrastructure Limited is the data controller, for the purposes of Data Protection Laws, for the personal data that we collect from you or obtain from you, which we process in accordance with this Privacy Notice and the Network Rail Privacy Notices.

Who are the data processors?

Our website uses the services from the following providers in order to function - WordPress, WPEngine and Gravity Forms.  Of these, only WPEngine will store any data.  In addition we use Microsoft products such as Excel and OneDrive to store personal information.

Personal information we will hold:

Information gathered includes:

  • Your name
  • Your work email address
  • Your work mobile number
  • The production company’s name.

How will we record/store/process/protect the information about you?

  • Only those who require access will have access
  • All data is encrypted and stored in the UK on our secure site.

Why do we collect this information and how will we use the information about you?

We collect this information to let the filming location (such as a station), know you have received the safety brief, and so they know who will be on site on the day.  This is particularly important should an evacuation take place.   The information is solely required for this purpose and will not be used in any other way.  No one else will have access to your data as it won't be shared further than those who need to know.

How long we will keep your personal information for?

Filming application profiles are kept for no longer than 365 days.  Safety brief personal data is kept no longer than 180 days.  Filming applications and contracts and correspondences are kept longer in line with legal requirements.
